Administrative Support Specialist

Job Summary
We are seeking an experienced Administrative Support Specialist to join our team at Auxis. In this role, you will be responsible for providing high-level administrative support to our staff.
Responsibilities
- Schedule meetings and appointments, ensuring efficient use of time and resources.
- Provide exceptional customer service by answering calls, greeting clients and visitors with professionalism and etiquette.
- Assist in preparing reports on transportation, supplies, petty cash, and credit card statements.
- Order and deliver office supplies, maintaining a well-stocked inventory.
- Book travel and hotel arrangements, ensuring seamless business operations.
- Submit and reconcile expense reports, ensuring accuracy and compliance.
- Support visitors, vendors, and employees, providing information and assistance as needed.
- Manage access control processes, ensuring secure entry and exit procedures.
- Cover the reception desk, representing Auxis with a positive and professional image.
- Assist with onboarding coordination, ensuring smooth transitions for new employees.
- Coordinate repairs to office equipment, minimizing downtime and maximizing productivity.
- Create invoices and quotes as requested, supporting sales and revenue growth.
- Support in Auxis Peak fairs, quoting and ordering products to meet customer needs.
Requirements
- English-Spanish language proficiency (oral and written) at 80% or higher (B2 level in English).
- High School Diploma or Technical Degree, with strong knowledge of MS Office tools.
- Strong work ethic, honesty, and loyalty, with a focus on delivering results-oriented solutions.
- Detail-oriented, with the ability to analyze causes and effects, and make informed decisions.
- Able to work effectively in stressful environments, with frequently changing priorities.
- Strong communication skills, both written and verbal, to interact with employees, management, vendors, and clients.
- Analytical skills, organizational abilities, and prioritization techniques to manage multiple tasks and deadlines.
- A team player, with the ability to interact with staff at all levels of the company and its operating units.
- Initiative to follow up on pending issues and organize assigned work.
- Ability to handle confidential information with sensitivity.
