Administrative Operations Specialist

Pfizer is seeking an Administrative Operations Specialist to provide exceptional support to our Field Medical Colleagues. As a key member of our team, you will be responsible for calendar management, travel and expense reports, and meeting coordination. Your expertise in scheduling and coordinating team meetings, 1:1's, and department meetings will be invaluable in ensuring seamless operations.
One of your primary objectives will be to anticipate and proactively resolve conflicts, utilizing diplomacy to resolve problems and maintain a positive work environment. Additionally, you will provide support for various medical team meetings, attend as requested, and manage meeting logistics. Your ability to work closely with outside vendors, manage Purchase Orders, and track payment of invoices will also be crucial in maintaining efficient operations.
Beyond these responsibilities, you will handle confidential matters on a regular basis and coordinate activities for complex meetings and events. This may include ordering food and AV equipment, managing AV equipment onsite, and handling issues for offsite meetings. Your flexibility, motivation, and ability to work independently and collaboratively in a matrix organization will make you an ideal candidate for this role.
We are looking for an individual with a Bachelor's degree and/or 4 to 6 years of experience in a related field. Advanced Microsoft Office Skills, including Outlook, Excel, and PowerPoint, are essential. Experience with MS Teams and SharePoint website management is preferred. You must demonstrate excellent problem-solving skills, resourcefulness, perseverance, and a positive, enthusiastic attitude.
Please note that the salary range for this position is approximately $65,000 - $90,000 per annum, depending on location and experience.
