The Role
This energetic role requires passion for technology and exceptional customer interaction skills. As a Microsoft Customer Experience specialist, you will be responsible for delivering an outstanding experience to all Microsoft visitors. Your primary goal is to leave a positive, professional, and lasting impression.

Responsibilities

  • Maintain a highly professional and polite demeanor at all times, both in person and on the telephone.
  • FOLLOW any dress code guidelines.
  • Make eye contact with visitors and greet them warmly.
  • Register and badge visitors, entering their information into the RE&F/Microsoft visitor registration management system as required.
  • Collect emergency contact information when necessary and notify the appropriate Microsoft staff of visiting guests.
  • Maintain confidentiality regarding visitors and respond to questions from staff and visitors about directions, local services, amenities, and building locations.
  • Arrange for taxi or transportation services as requested and provide guest wireless access codes as needed.
  • Ensure the customer-facing meeting room remains neat and tidy.
  • Receive and direct incoming local deliveries to the appropriate on-site location and distribute them to the correct departments or tenants.
  • Answer and direct phone calls/main switchboard or lobby desk, responding to general inquiries and supporting administrative requests.
  • Maintain a professional presentation of the front desk and lobby areas, ensuring all applicable requirements are met.
  • Support and coordinate events with the business and/or IFM events team, ensuring requirements are met and delivered within the scope of service.
  • Provide daily briefings on events and meeting schedules to the concierge, highlighting specific user requirements essential to meeting customer expectations.
  • Perform daily sweeps of the meeting room and lobby area to ensure they remain clean, tidy, and functional at all times.
  • Work with the Hospitality and/or Cleaning provider to remove food and crockery after functions have concluded.
  • Maintain and keep current Standard Operating Procedure (SOP) manuals for the Lobby Area or smaller offices on site.
  • Enter service requests or update work completion status changes in the work order system.
  • Coordinate and assist with Lobby and/or general maintenance issues, including entry of Service Requests into the GFSC.
  • Provide access to Tier Two IFM Providers to carry out maintenance work in accordance with site EHS systems and procedures.
  • Ensure Microsoft devices, display services, and associated lobby technology function properly at all times.
  • Collaborate with Microsoft IT and Site FM to raise technical issues and failures promptly and resolve them fully.
  • Monitor staff and visitors who enter secured areas and contact security immediately for all types of security breaches and problem situations.
  • Commence emergency procedures consistent with assigned location emergency response plans as necessary.
  • Complete reports as required, including usage of rooms/spaces, calls quantity, visitors, etc.
