**Job Title:** Senior Office Coordinator

**Job Summary:** We are looking for a highly skilled Senior Office Coordinator to join our team at Havas Group. As a key member of our support staff, you will be responsible for providing exceptional administrative support to our executive team.

**Key Responsibilities:

  • Serve as a primary point of contact and liaison between the executive and internal/external stakeholders, including senior leaders, staff members, clients, and partners.
  • Assist the executive in managing their schedule, priorities, and commitments, including organizing meetings, coordinating travel arrangements, and preparing briefing materials.
  • Oversee multiple busy calendars, proactively resolving conflicts and ensuring optimal time management for the executive's priorities.
  • Provide analysis, recommendations, and advice to the executive to support decision-making processes.
  • Efficiently handle a high volume of expenses with precision and timeliness.
  • Coordinate meeting logistics, including audio/video conferencing setup and catering arrangements remotely.
  • Oversee key projects and initiatives on behalf of the executive, ensuring they stay on track, meet deadlines, and achieve objectives.

Requirements & Skills:

  • 5-7 years of experience as an Executive Assistant.
  • Excellent English communication (written & verbal) and interpersonal skills, C1 Level required.
  • Proficiency in Outlook, Teams, Zoom, PPT, Word, Excel.
  • Outstanding ability to execute reliably by solving problems proactively and prioritizing time and tasks.
  • Attention to detail, especially as it relates to handling calendars and travel.
  • Resilience to navigate competing priorities and constant change during busy periods.

Education:

Bachelor's degree in administration or any related field.
