Your Role

As a Billing and Accounting Analyst at Gensler, you will play a crucial role in managing financial accounts and conducting analyses for our projects and business operations. Your success will stem from your exceptional organizational skills and your commitment to maintaining the financial integrity of projects throughout their lifecycle, from initial assessments to invoicing and collections. Collaborate with a team of creative and supportive colleagues, working alongside project managers to ensure that our projects are both aesthetically pleasing and financially viable.

What You Will Do

  • Collaborate with Design Managers, clients, and consultants to address billing and financial matters.
  • Analyze financial data in contracts and invoices, ensuring accurate communication.
  • Assist in collection efforts and follow up on outstanding payments.
  • Maintain and oversee project-specific budgets, spreadsheets, and reports.
  • Establish optimal billing terms and formats for invoices.
  • Prepare and process invoices in accordance with project agreements.
  • Adhere to monthly invoicing timelines.
  • Gather and verify supporting documentation for invoices as needed.
  • Engage regularly with Design Managers and Studio Directors to discuss schedules, billing, and collection issues.
  • Prepare journal entries and investigate general ledger discrepancies.
  • Develop expertise in our accounting software, becoming a resource for team members.
  • Cross-train with colleagues to ensure a cohesive and high-performing team, assisting with ad-hoc projects or analyses as required.

Your Qualifications

  • Bachelor's degree in accounting is mandatory.
  • A minimum of 5 years of experience in accounting roles.
  • Bilingual proficiency in English and Spanish.
  • Strong Excel skills and proficiency in MS Office applications.
  • Detail-oriented with exceptional organizational skills.
  • Experience managing multiple currencies, exchange rates, and tax considerations.
  • Familiarity with consortium accounting is advantageous.
  • Excellent interpersonal skills, capable of engaging diverse personality types.
  • Ability to prioritize tasks and meet deadlines effectively.
  • Capable of working both independently and as part of a team.
  • Analytical mindset with proactive problem-solving abilities.
  • Ability to thrive under pressure while managing multiple tasks.
  • Effective communication skills across all organizational levels.
