  • This position is created to manage and resolve any inquiry in regard to past due invoices, disputes, update accounts and/or any other special needs vendors and branches might have

Main Role and Responsibilities

  • Read, analyze and enter data of all vendor documents by using HWL software systems (JIRA, Hellogic, K&H, and WorldTrak).
  • Review invoices for payment by comparing estimated costs in the operational systems versus the actual amount on the invoices.
  • Forward invoices with missing or wrong reference numbers to the vendor for followup.
  • Forward invoices with discrepancies, between estimated costs and the actual amount for branch offices to approve or dispute.
  • Meet quality goals and metrics defined by the management team.
  • Follow processes defined by the management team.
  • Receive, review and analyze statements of AP accounts to provide invoice status to the vendors.
  • Communicate and follow up with vendors on missing invoices, invoices with missing reference numbers, and wrong billing.
  • Follow up on disputes and ensures their complete resolution.
  • Maintain excel spreadsheets with account details on a monthly basis.
  • Submit vendor requests to Data Steward for updating the vendor profile or setting up new vendor accounts.
  • Download, prepare and process the CASS payment.
  • Additional tasks as assigned by the Supervisor or Manager.

Education and Experience

  • High School diploma required
  • Account Payable Experience
  • Finance / Accounting Experience
  • Advanced English level (B2+, C1)
  • Reporting Analysis and Creation
