Role Summary

The Assistant to the Director of Ecommerce and Sales acts as a strategic operations partner, maximizing leadership effectiveness and ensuring seamless execution across Chai Vision's e-commerce channels. This role manages communication, reporting, and project tracking to streamline decision-making and optimize workflow efficiency. By anticipating needs, prioritizing initiatives, and maintaining precise organization, this position enables leadership to focus on high-impact strategies that drive growth and channel expansion.

What You'll Do

  • Manage and prioritize the Director's inbox, schedule, and daily workflow.
  • Coordinate meetings across time zones, prepare agendas, and track action items.
  • Serve as the primary point of contact for internal and external communications.
  • Collect and compile sales and performance data from Amazon, Shopify, and other platforms.
  • Create dashboards and performance reports to support leadership decision-making.
  • Track project milestones, deliverables, and progress in and Google Drive.
  • Maintain organized documentation systems and ensure accessibility for all stakeholders.
  • Prepare materials for reviews, presentations, and strategic planning sessions.
  • Collaborate with Brand, Operations, Finance, and Marketing teams to align workflows and timelines.
  • Ensure timely completion of deliverables and follow-up actions.

Qualifications

  • Bachelor's degree in Business, Operations, or a related field.
  • 3+ years of experience as an Executive or Administrative Assistant, preferably in an e-commerce environment.
  • Strong proficiency in Excel, Google Sheets, and project management tools , Notion).
  • Excellent written and verbal communication skills.
  • Highly organized, detail-oriented, and skilled at prioritizing in a fast-paced environment.
  • Professional, discreet, and comfortable handling confidential business information.
