Company Overview: BTSS Archiving Operations plays a crucial role in maintaining best practices for archived records at Citi locations stored with third-party suppliers. This team provides comprehensive guidance, training, and support to ensure compliance with the Records Management Policy and Standard.

Job Description:

This role reports directly to the Global Archiving Lead and is responsible for standardizing, rationalizing, and improving global processes and services. Key responsibilities include executing process improvement projects, automating operations activities, and conducting day-to-day analytics.

Key Responsibilities:

  • Develop and drive re-engineering/process improvement/global programs and projects to achieve operational and financial efficiencies
  • Provide thought leadership and project management expertise to drive standardization, optimization, and efficiency
  • Manage priorities, provide project status reporting, and mitigate issues/risks
  • Support the Global Archiving Operations Team with day-to-day activities, including global communication, training initiatives, UAT planning, and testing
  • Identify areas of interdependencies within the Global Archiving Operations organization and facilitate integration of objectives and work
  • Build relationships with Regional Archiving Leaders, Stakeholders, Suppliers, and ESC/RMO
  • Escalate risks or delivery delays to appropriate Archiving Operations leaders with potential resolution strategies
  • Facilitate the sharing of best practices and insights across teams
  • Develop presentations and materials for senior management, synthesizing information and financials globally
  • Verify third-party compliance with required policies and controls
  • Analyze data to identify trends in business groups, assisting Regional Archiving Leads in recommending solutions
  • Attend stakeholder meetings and working group sessions to design global processes, simplify existing processes, and create project plans
  • Own and manage the Global Archiving Operations Guide, ensuring alignment with current Records Management criteria and standards
  • Support the Global & Regional Archiving Leads in executing Manager's Control Assessment (MCA) testing and remediation plans
  • Be the single point of contact for audit deliverables
  • Provide backup support to the Financial Analyst as needed

Required Skills and Qualifications:

  • Minimum 8 years of relevant experience
  • Bachelor's Degree required or equivalent work experience
  • MBA or equivalent qualification preferred but not mandatory
  • Project Management Professional (PMP) and Management Information System/Technology experience preferred
  • Able to prioritize tasks while handling multiple time-sensitive projects in a fast-paced environment
  • Strong organizational skills, work ethic, initiative, sense of urgency, attention to detail, and confidentiality
  • Excellent conflict management and resolution skills
  • Excellent communication skills in English, both oral and written
  • Robust technical and analytical skills, including expert experience using Excel, Microsoft 365, Teams, SharePoint, One Drive, and PowerPoint
  • Team player with flexibility to accommodate different personalities and work styles
  • Confidence to manage interactions and expectations at all levels of the organization
  • Strong project management, creative problem-solving skills, and ability to drive large global complex projects to successful completion
  • Customer focus, relationship, and stakeholder management skillset
  • Experience in reengineering/Lean end-to-end process flows at a global level
  • Broad, critical, and out-of-the-box thinker with the ability to effectively communicate ideas
