Job Title: Executive Assistant

Job Description:

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Commercial Director. The ideal candidate will have excellent organizational skills, be able to work independently, and have a high level of confidentiality.

The successful candidate will be responsible for managing the director's schedule, coordinating meetings, arranging travel, and preparing reports and presentations.

Main Responsibilities:

  • Perform complex administrative duties, including contact with confidential materials and information
  • Arrange, schedule, update, organize, and coordinate meetings both domestic and international
  • Plan, assist, and attend events, including reserving and setting up rooms, planning activities, preparing materials, and other related activities
  • Assist with making complex travel arrangements, including booking flights, hotels, and car reservations, and other documents required for staff to travel to global locations
  • Maintain strong interpersonal relationships with employees at all levels of the organization, develop and maintain effective business contacts with vendors and services
  • Prepare and review expenses, reports, spreadsheets, presentations, and finished documents relevant to supervisor's assignment

About You:

  • Professional in Business Administration or related fields
  • 4+ years of executive assistant experience
  • Fluency in English and Spanish is a must
  • Must be able to use Outlook at an intermediate to expert level
  • Advanced computer skills using Excel and PowerPoint
  • Strong written and oral communication skills
  • Demonstrated ability to act independently, set priorities, work well under deadline pressures, adapt to change, and handle confidential material
  • Very strong organizational and time management skills to handle functional workload and multiple priorities
  • Demonstrated orientation to detail and strong analytical skills
  • Experience making international travel arrangements and awareness of the documents required for such travel
  • Ability to multi-task in a fast-paced environment
  • Ability to exercise independent problem solving and decision making with a high degree of initiative and self-coordination

Estimated Salary Range: $60,000 - $80,000 per year

This salary range is based on national averages and may vary depending on location, experience, and other factors.
