Position description
The purpose of this position is to provide receptionist services to support the U.S. Agency for International Development (USAID), Bureau for Humanitarian Affairs (BHA) in the Latin America and the Caribbean (LAC) region office. The Receptionist will be responsible for executing specific duties including ensuring the front desk welcomes guests positively, answering and directing calls for office staff, and supporting administrative tasks to the highest quality standards. This position will report to the Chief of Party (COP) for the Amentum Macfadden Contract for USAID BHA Regional Disaster assistance Program (RDAP) of their designee. The position is based in San Jose, Costa Rica.
Key Responsibilities:
- Answer incoming office phone calls and direct to the appropriate call recipients.
- Notifies company personnel of visitor arrival.
- Directs visitors by maintaining employee and department directories.
- Provides administrative support to the RDAP Administrative Assistant including:
- Update weekly MDRO’s list
- Update the Staff, DRMS, SRM and SRA list
- Support Passport digital file
- Prepare and manage routine expresses mailing (DHL, UPS, etc.) and coordinates with provider, as required.
- Assist in photocopying, as required.
- Support in-office meetings.
- Contributes to team efforts by accomplishing additional duties as needed.
Qualifications and Experience:
- 3-5 years of experience as receptionist or similar role.
- Previous experience with Microsoft Office software preferred.
- Excellent verbal communication and listening skills.
- Familiarity with phone systems is required.
- Demonstrated attention to detail and ability to handle high pressure situations.
- Experience with USAID and donor-funded projects preferred, but not required.
- Strong organizational and interpersonal skills and ability to work in a team-oriented environment.
- Demonstrated high level of professionalism and customer focused attitude.
- Excellent time management skills.
- Fluency in Spanish and conversational proficiency in English is preferred.

Responsabilidades clave:
- Responde a las llamadas telefónicas entrantes de la oficina y las dirige a los destinatarios adecuados.
- Notifica al personal de la empresa la llegada de visitantes.
- Dirige a los visitantes manteniendo los directorios de empleados y departamentos.
- Proporciona apoyo administrativo al Asistente Administrativo RDAP, incluyendo:
- Actualizar la lista semanal de MDRO
- Actualizar la lista de Personal, DRMS, SRM y SRA
- Apoyo con el archivo digital del Pasaporte
- Apoyo con la solicitud de Seguro de Viaje requerido por Amentum MacfaddenPreparar y gestionar el correo urgente rutinario (DHL, UPS, etc.) y coordinarse con el proveedor, según sea necesario.
- Ayudar a fotocopiar, en caso necesario.
- Apoyar las reuniones en la oficina.
- Contribuye a los esfuerzos del equipo realizando tareas adicionales según sea necesario.
Qualifications and Experience:
- De 3 a 5 años de experiência como recepcionista o puesto similar.
- Preferible experiência previa con el software Microsoft Office.
- Excelente comunicación verbal y capacidad de escucha.
- Se requiere familiaridad con los sistemas telefónicos.
- Demostrada atención al detalle y capacidad para manejar situaciones de alta presión.
- Experiência con proyectos financiados por USAID y donantes, preferible pero no obligatoria.
- Sólidas dotes organizativas e interpersonales y capacidad para trabajar en un entorno orientado al trabajo en equipo.
- Alto nível demostrado de profesionalidad y actitud orientada al cliente.
- Excelente capacidad de gestión del tiempo.
- Dominio del español
