Job Summary:

The Hakkoda Executive Assistant will provide high-level administrative support to our Senior Executives, ensuring the effectiveness of our executive team.

Key Responsibilities:

  • Manage executives' agendas and activities, including travel, hotel, and expense arrangements.
  • Maintain complex calendars, scheduling meetings, appointments, and travel, prioritizing and coordinating conflicting commitments.
  • Act as primary point of contact between executives and internal/external stakeholders.
  • Travel coordination: Plan, organize, and manage travel arrangements, including flights, accommodations, and itineraries.
  • Information management: Maintain confidentiality and discretion when handling sensitive information and documents.
  • Meeting support: Prepare agendas, take minutes, and follow up on action items for executive meetings.
  • Project assistance: Support executives in special projects, research, and presentations, tracking and monitoring project deadlines and progress.
  • Team coordination: Collaborate with other executive assistants and administrative staff to ensure seamless coordination of tasks and responsibilities.
  • Assist other teams as needed in support of firm-wide needs.
  • Manage solutions or vendors for expense management.

Requirements:

  • Bachelor's degree or 6+ years of relevant work experience.
  • Proven experience as an executive assistant or in a similar role, demonstrating trust and credibility with executive leadership teams.
  • Excellent project management skills, with knowledge of driving and planning events.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Discretion and the ability to handle confidential information with integrity.
  • Problem-solving skills and the ability to adapt to changing priorities.
  • Strong interpersonal skills and a professional demeanor.
