Job Description
The
Senior Payroll Specialist
role is a key member of the Accounting Shared Services team, reporting to the Americas Payroll Manager. The position is responsible for administering payroll across multiple regions and collaborating closely with colleagues in accounting, finance, human resources, and external vendors. The ideal candidate is detail-oriented, accurate, and eager to improve processes, embrace change, and contribute to organizational progress.

This position is based in our Heredia, Costa Rica office and follows a
hybrid work model
. Employees are expected to work on-site a minimum of one day per week.

Essential Duties And Responsibilities

• Manage end-to-end payroll for 100+ employees in Brazil and Costa Rica, while providing as needed support for the U.S. payroll cycle covering 1,000+ employees.
• Calculate and distribute wages, bonuses, and complex deductions by reconciling data across internal HCM systems and external vendor platforms to ensure 100% accuracy.
• Ensure strict adherence to payroll tax laws in all supported countries; actively monitor legislative changes and provide timely impact updates to the HR department.
• Serve as the primary payroll expert for Costa Rica employees and partner closely with third-party vendors to guarantee seamless, on-time payment delivery.
• Perform regular payroll reconciliations and audits to verify system data against policy changes; generate detailed reports for Finance and Accounting departments.
• Maintain secure, confidential employee records and standardize payroll procedures through regular documentation updates to ensure departmental consistency.
• Identify and implement opportunities for automation or standardization within payroll workflows to reduce manual data entry and increase processing speed.

Minimum Education

• Bachelor's degree in accounting, business, or finance required

Minimum Experience

• 7+ years domestic and/or international payroll processing experience with some experience processing Costa Rica payroll
• Strong attention to detail and accuracy
• Experience with Workday system preferred
• Experience with CloudPay a plus
• Knowledge of payroll accounting; journal entries and account reconciliations preferred
• Intermediate knowledge of Excel
• Ability to work in a fast-paced environment even during times of ambiguity
• Proficient computer, organizational, analytical, research and problem-solving skills
• Ability to troubleshoot payroll processing issues, run and analyze reports
• Excellent interpersonal skills, positive attitude, flexibility, and a willingness to learn new things
• Ability to work effectively in a team environment across borders and time zones
• High regard for confidential information and excellent professional judgement
• Fluent in English and Spanish (communication and written)
