Description

We are seeking an experienced and strategic Vendor Management Operations Lead to oversee vendor relationships, drive operational efficiency, and support IT procurement and finance process improvements. This role is ideal for a professional with 5+ years of experience, with a strong foundation in vendor management (including experience in documentation, process improvement, change management, and financial analysis), project management or similar operational roles.

Responsibilities

Vendor & Deal Management 

  • Lead vendor management back-office operations including managing contract intake and the contracts repository, support purchase order creation, following up on PO and invoice issues, setting up vendors, and vendor spend analytics. 
  • Maintain and enhance a Negotiations Tracker to monitor renewals, savings opportunities, cost savings, and financial impact of renewals. 
  • Collaborate with Procurement, IT and business leads, and finance teams to ensure alignment on contract terms and deliverables, vendor performance, and contracted spend. 
  • Manage vendor contracts and act as an escalation for vendor performance issues and SLA management.

Operational Excellence 

  • Design, implement, and improve vendor management processes and workflows. 
  • Drive change management initiatives to support adoption of new tools, processes, and policies by employees across IT. 
  • Develop and maintain briefing documents for executive-level vendor reviews and decision-making.

Reporting & Analytics 

  • Build and maintain dashboards and reports using Excel, databases, and BI tools to track vendor performance, spend, and compliance. 
  • Conduct industry research to benchmark vendor offerings and identify opportunities for innovation or cost savings. 
  • Provide actionable insights through regular reporting and ad hoc analysis.

Cross-Functional Collaboration 

  • Partner with IT, Finance, Legal, and Business Units to ensure vendor operations align with organizational goals.
  • Support project teams with vendor-related activities, including onboarding, performance reviews, and issue resolution.
Qualifications

Education and Experience:

  • Bachelor's degree in Business, IT, Finance, Computer Science, or related field. 
  • 5+ years of experience in IT Business Operations, IT Vendor Management, IT Financial Management or Project Management. 
  • Proven experience in process creation/improvement, change management, and financial tracking. 
  • Advanced proficiency in Excel, databases, and reporting tools (e.g., Power BI, Tableau). 
  • Proficiency in vendor management tools and platforms (e.g. ServiceNow, SAP Ariba). 
  • Strong analytical organization and communication skills. 
  • Ability to manage multiple priorities in a fast-paced environment. 
  • Fluent in English.

Preferred Skills

  • Experience directly interacting with vendors, requesting and benchmarking quotes. 
  • Experience with contract lifecycle management (CLM) tools. 
  • Understanding of vendor risk management and compliance requirements. 
  • Familiarity with asset management aspects of ITIL or other IT service management frameworks.
