We are in search of a dedicated Project Manager who will be instrumental in advancing a diverse array of projects and initiatives within the Chief Administrative Officer (CAO) division. This role is crucial for steering strategic endeavors, promoting effective decision-making, and ensuring the successful implementation of initiatives that resonate with the organization's mission.
Primary Responsibilities:
· Direct cross-departmental project teams to achieve complex project goals within established timelines and budgets.
· Work closely with the Chief of Staff to prioritize project efforts and ensure alignment with the organization’s strategic objectives.
· Create and maintain detailed project documentation, including plans, timelines, and progress reports.
· Serve as a key communicator between the CAO division and other departments to guarantee clear messaging and stakeholder engagement.
· Apply best practices in project management while continuously identifying opportunities for process enhancements and improved outcomes.
· Assist in the planning and execution of various engagements, managing requests and maintaining planning and tracking resources.
· Develop a variety of materials for both internal and external engagements, such as client meetings, operational discussions, board presentations, and other ad hoc presentations.
· Collaborate with other teams and business units to cultivate relationships, establish credibility, resolve issues, build consensus, and achieve shared goals.
· Deliver precise stakeholder and governance communications in a timely manner, ensuring accuracy and completeness.
· Mentor and guide project team members, promoting a culture of excellence and teamwork.
· Oversee and manage multiple projects with various internal and external dependencies, addressing complex scopes and higher risk factors that require mitigation strategies.
Qualifications:
· Bachelor’s degree in Business Administration, Project Management, or a related discipline.
· At least 5 years of experience in project management, ideally within a corporate environment.
· Demonstrated success in managing large-scale projects from initiation to completion.
· Strong leadership capabilities with a proven ability to inspire and drive teams toward successful outcomes.
· Exceptional communication, organizational, and problem-solving skills.
· Proficiency in project management software and tools.
· Bilingual proficiency in English and Spanish is highly desirable.
Key Competencies:
· Thorough understanding of the Project Lifecycle and the responsibilities of a Project Manager utilizing iterative development methodologies. Ability to lead team discussions on scope, estimation, planning, and scheduling, drawing from practical experience.
· Capability to organize related projects into programs and manage them effectively.
· Recognized as a proactive and decisive project manager with experience in leading broad-scope, interdependent, high-risk projects with significant impact and extended implementation timelines.
· Strong financial acumen related to project management.
· Excellent skills in creating, analyzing, and presenting written, verbal, and visual communications to diverse audiences.
· Commitment to leadership through actions and words within the project and organizational teams, consistently identifying and executing operational efficiencies. Proficient in change management, creating clarity in ambiguous situations.
· Strong multi-stakeholder management skills with effective negotiation abilities, fostering positive interactions.
· Ability to set clear direction and delegate tasks to project teams, ensuring that project deliverables are met in accordance with departmental objectives.
