A Hakkoda Executive Assistant will provide high-level administrative support to our Senior Executives. This role is crucial to maintain the effectiveness of our executive team.

**What we are looking for**:
We are looking for a talent who is proactive, organized, and possess excellent communication and interpersonal skills who is capable of operating with limited supervision.

**Responsibilities**:

- Experience as EA managing executives' agendas and activities such as travel, hotel, expenses, etc.
- Manage and maintain the executives' complex calendars, scheduling meetings, appointments, and travel arrangements. Prioritize and coordinate conflicting appointments and commitments.
- Act as a primary point of contact between the executives and internal/external stakeholders.
- Travel Coordination to support corporate onboarding: Plan, organize, and manage travel arrangements, including flights, accommodations, and itineraries.
- Information Management: Maintain confidentiality and discretion when handling sensitive information and documents.
- Meeting Support: Prepare agendas, take minutes, and follow up on action items for executive meetings.
- Project Assistance: Support executives in special projects, research, and presentations. Assist in tracking and monitoring project deadlines and progress.
- Team Coordination: Collaborate with other executive assistants and administrative staff to ensure seamless coordination of tasks and responsibilities.
- Assist other teams as needed in support of firm wide needs
- Management of solutions or vendors for expense management

**Requirements**:

- Bachelor's degree or 6+ years of relevant work experience
- Proven experience as an executive assistant or in a similar role with demonstrable experience building trust and credibility with executive leadership teams.
- Excellent project management skills are desired, and knowledge of driving and planning events is required
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Discretion and the ability to handle confidential information with integrity.
- Problem-solving skills and the ability to adapt to changing priorities.
- Strong interpersonal skills and a professional demeanor.
