Key Responsibilities:
Job Purpose
The post holder will be primarily focused on the central management, review, update, and administration of all WVI employment contracts. They will be responsible for effectively administering employment contract and secondment templates for GC reporting WV staff as well as creating, organizing and maintaining the library of hosting agreements and MoUs. In addition, this post will be responsible for the effective and timely hire of all new employees as well as administering job changes for existing employees for Global Centre.
- Major Responsibilities_
Provide overall management of employment contracts:
- Understand all types of WV contracts to determine the right type of contract for diverse WV population
- Demonstrate operating knowledge of World Vision legal entities
- Administer employment contracts with accuracy and efficiency as well as appropriate prioritization
- Suggest continuous improvements for standard operating procedure (SOP) for employment contract administration
- Maintain and improve contract knowledge management database to reflect most current templates
- Develop and deliver relevant resources on contracts for P&C business users
- Provide guidance to recruiters, hiring managers and local P&C on contract administration process
Conduct employment process in the HRIS system (Workday):
- Complete employment process for new and existing hires in Workday
- Ensure alignment and accuracy of all employment data
- Troubleshoot obstacles in collaboration with appropriate P&C business users
- Prepare and preposition employee files for successful on-boarding process
- Execute relevant screening as per WVI policies and operating procedures
- Maintain and protect confidential employee data with utmost scrutiny, judgement and care
Develop Hosting Agreements library:
- Collect and organize data on types of hires, locations and hiring entities to inform where hosting arrangements for WVI are needed
- Initiate contact and partner with WV Field Offices to establish standardized Hosting Agreements.
- Consult with Legal and other relevant partners to ensure adherence to WVI legal standards, policies and procedures.
Manage projects and other duties:
- Participate in systems testing, calibrating and process improvement
- Cross-train team members on key contracting and hiring practices for back-up
- Provide coverage for other teammates' portfolios; stay current on any changes and updates to team roles
- Required Professional Expereience_
- Prior Human Resources and administrative recruitment experience
- Proven experience working with HRIS system (Workday is preferred)
- Ability to organize, analyze and track large amount of information with keen attention to detail
- Strong oral and written communication skills with ability to handle extremely confidential and sensitive information
- Ability to handle multiple tasks with an aptitude to prioritize and delegate
- Ability to problem solve and effectively collaborate with various partners to reach everyone’s goals
- Excellent organizing, planning, implementing and coordinating skills
- Team player with an attitude to support, partner and share responsibility of common goals.
- Mature Christian who models Christian behaviors in dealing with others
- Requires Bachelor’s degree in Human Resources Management or social sciences or equivalent.
- Minimum of 2 years working experience of HR coordination, contracts management and administration
- Preferred Knowledge & Skills_
- Previous HR experience in a complex international environment (prior experience with World Vision is a plus)
- Process improvement and business acumen
- Aptitude to simplification, standardization, eliminating redundancies
