Freelance Position – E-commerce Operations Specialist

Role Overview

Buena Vida Specialty Coffee is looking for a Freelance E-commerce Operations Specialist to manage and execute the day-to-day operations of our online sales channels. This is a hands-on, execution-focused role, ideal for an experienced professional who can work independently while ensuring accuracy, organization, and consistent follow-up.

Our website runs on WordPress using WooCommerce, and this role also manages our Amazon sales channel. The specialist will be responsible for sales tracking, customer follow-up, inventory monitoring, campaigns, and reporting.

Key Responsibilities

E-commerce | WooCommerce (WordPress)

Manage and maintain the Buena Vida online store using WooCommerce, ensuring all product information (prices, descriptions, availability, policies) is accurate and up to date.

Review and optimize product images and visual content in line with brand standards.

Monitor daily and weekly sales performance of the online store.

Ensure proper functionality of checkout, payments, and order confirmations.

Amazon

Monitor Amazon sales performance on a daily basis.

Track and review Amazon fees and commissions.

Monitor and control Amazon inventory levels.

Send an Amazon inventory report every Friday afternoon to Maria Carolina.

Manage and resolve customer issues or order-related conflicts on Amazon.

Customers & Campaigns

Follow up with customers purchasing through the online store.

Create and manage promotional campaigns (discounts, seasonal promotions, coupons).

Track shipments for orders not fulfilled via Amazon and ensure proper delivery.

Act as the main customer service point of contact for e-commerce orders.

Prepare monthly sales reports, clearly separating:

Orders fulfilled from Costa Rica

Orders fulfilled via Amazon

KPIs & Performance Indicators

Monthly sales by channel (WooCommerce / Amazon)

On-time delivery of weekly and monthly reports

Amazon inventory accuracy

Customer response time and issue resolution rate

Campaign performance and e-commerce conversion rate

Ideal Freelance Profile

Proven experience managing WordPress + WooCommerce stores.

Experience with Amazon Seller Central.

Strong organizational skills and attention to detail.

Ability to work independently and remotely, with clear accountability.

Operational mindset focused on execution and follow-through.

Experience with food, beverage, or specialty coffee brands is a plus.

Engagement Details

Contract type: Freelance / Independent Contractor

Work mode: Remote (with coordination with operations team)

Time commitment: To be defined (hours per week or monthly scope)

Compensation: Based on scope, experience, and availability

Reporting to: Operations Team
