The Data Entry Specialist will perform tasks that will help improve the quote and order service levels of the Flow Solutions Group.
- This is an entry level position that requires a balance of attention to details and speed. Primary functions include data entry and processing of quotes, orders, and related activities and requests.
- The Data Entry Specialist will be working with multiple systems that he or she needs to update timely and accurately.
**Responsibilities**:
- **Data Entry and Processing**:
- Receive and process customer request for quote and orders.
- Using the established standards, check that all information supplied by the customer is correct and complete to ensure the customer receives the product they need and at the time they need it.
- Accurately upload, enter, and book order in business systems.
- Accurately upload and enter quote’/proposals in the business systems. Send quote to the internal/external customers, as required.
- Contact internal customer care personnel to gather information required to resolve quote and order issues or to collect missing information at the data entry stage.
- Maintain updated customer information in business systems and other databases. Collect and save needed documentation to ensure compliance with record retention and documentation procedures.
- Assist other customer care personnel with correction of order and quote entry errors.
- **Process, Systems & Tools**:
- Maintain proficiency and utilize all of business systems required to enter and process quotes and orders.
- Maintain accurate records of all activities related to orders and quotes from receipt of the purchase orders (PO) and request for quotation (RFQ) to process completion. Understand and implement all aspects of the organization’s document retention procedures.
- Ensure compliance with import/export, contract, and government requirements. Screen orders and quotes for compliance with the business unit Terms and Conditions, Agreements, and standards.
- **Job Knowledge & Teamwork**:
- Understand basics of business unit products, model numbers, and price list.
- Understand and follow established processes in accurate data entry and process hand-off.
- Perform other duties as required.
**Basic Qualifications**:
- High School Diploma/GED (Bachillerato en Educación Media) required.
- Experience: at least 6 months of customer service/data entry experience, or other related experience.
- Proficient in Microsoft Office Suite.
- B1 English proficiency.
- Ability to multi-task, organize, and prioritize work.
- Must be willing to work on North America shift schedules.
**Preferred Qualifications**:
- Experience: 1 year of customer service, data entry experience, or other related experience.
- English Proficiency (Written & Oral) Level, B2.
