Business & Travel Shared Services (BTSS) forms part of the Citigroup Shared Services (CSS) organization, which in turn sits within the broader Citigroup Enterprise & Operations Technology division (EO&T).
BTSS LATAM (including Mexico) provides the day-to-day operations and vendor management from the following core services across 18 countries for all of Citi’s internal businesses:
- Archiving Services
- Mail & Distribution Services
- Managed Print Services
- Office Supplies & Stationary
- Transactional Print
- Global Travel
- Corporate Card Program
- Citi Wheels Program
In addition to the 8 core services listed above, in some locations BTSS may oversee numerous in-country specific services on behalf of the residing businesses and other service groups where mutually agreed and with the appropriate controls in place (Business Partner Services). These may include where appropriate: RMO-Resource Management Organization (Country Imaging & Scanning), Global Hospitality Services (client hospitality, staff catering, dining, reception and switchboard), and a variety of other local utility services (Secondary Services) performed on behalf of other EO&T products with no “on the ground” management presence.
The BTSS LATAM Business Office Support is responsible for providing assistance on key strategic initiatives across LATAM and supporting Global CSS/BTSS strategy and execution.
She/he must effectively collaborate with BTSS LATAM Business Office Lead. This role reports to BTSS LATAM Business Office Lead and requires daily interaction with the LATAM and Global BTSS Business Office, Strategy & Reengineering Team.
**Responsibilities**:
The BTSS LATAM Business Office Support is responsible for executing activities and initiatives specific to the LATAM region including finance, talent, metrics/performance reporting and communications support, as well as support for key strategic initiatives.
To be successful in this role it is needed to build strong partnerships and relationships with the different team members involved in all activities.
The BTSS Business Office Support provides assistance to the BTSS Regional Business Office Lead to:
FINANCE:
- Provide financial support to the department’s Regional Head and Cluster/Country Leads, liaising with the regional finance team (FP&A) and the Common Capabilities Finance Team to ensure timely and accurate reporting of financials; assisting with the yearly charge out drivers, planning forecasting and monthly actuals, coordinate the resolution of issues due to booking errors or over spend
- Ensure Business Saves calculation methodologies are consistent with Global standards and maintain and validate backup documentation
- Provide reporting and analysis support on LATAM divestitures, functional transfers, and investments as required
- Update Headcount Forecasting for the Region on a monthly basis (Renault)
- Follow up on eRecon accounts reporting to ensure issues are addressed/corrected and accounts and information is accurate and complete
TALENT:
- Provide regional support on all talent, development and people engagement initiatives
- Achieve 100% compliance with Mandatory Trainings for all LATAM Staff
- In partnership with global business office, responsible for workforce reporting inclusive of workforce classifications, attrition, and requisitions
COMMUNICATIONS, ENGAGEMENT & VOE:
- Provide regional support of communications to be sent to the region, assist global with English/Spanish Translations during calls or with specific documents and presentations
- Plan/Schedule/Execute regional events such as Town Halls, Quarterly Reviews with Senior Management, Country Deep Dives
- Responsible to consolidate and review information to be shared to stakeholders for Monthly Operational Reviews (MORs), Newsletters, Citi Collaborate on a regional level
- Align Regional and Global VOE priorities and action plans
- Promote and coach the team in regards to Modern Collaboration Tools (OneDrive / Teams / SharePoint Online / Yammer / etc.)
- Provide maintenance of Distribution Lists, Org Charts and administrative documentation for the region
METRICS:
- Partner with the BTSS Business Office Metrics Global Lead on initiatives related to Product Metrics for BTSS Products in the Region, collaborating with the Global BTSS Business Office to ensure timely and accurate reporting of Product Metrics
- Partner with the BTSS Business Office Performance Reporting Global Lead on Regional reporting for various ad-hoc reporting requests from senior BTSS and CSS leadership
KEY STRATEGIC INITIATIVES:
- Lead various key BTSS strategic initiatives (workforce analysis, correct assignment of devices, correct location analysis, etc.) in LATAM as needed to ensure regional alignment with Global departmental goals, partnering with the BTSS Global Business Office as needed.
