PMO Project Scheduler

A scheduler resides in the Program PMO Services team for Transition & Transformation and reports directly to the Program PMO Services Manager.
The scheduler is responsible for operating and explaining the project scheduling tools used during the life span of the Transition and Transformation projects. Using appropriate software and related techniques, the scheduler integrates operational project performance data and provides this to account management in the format of reports and/or dashboards.
Primary Responsibilities:
- Produces comprehensive schedules according to PMO standards, in various formats and detail to suit different users or audiences.
- Ensures that dependencies across projects are reflected in related schedules and align with ITTPs.
- Creates an overview at Program level by consolidating the project schedules in one Consolidated Schedule.
- Aligns the project schedule with the project budget where appropriate.
- Analyses validity and quality of schedules submitted by all parties contributing to the project and ensures the schedule meets published standards.
- Captures weekly schedule updates with the Project Managers and recalculates the remaining work.
- Monitors actual progress, compares to baseline and report progress against schedule.
- Produces milestone outlook views on a weekly basis by project for reporting purposes, e.g., a 2-week view, one month view.
- Analyses and reports productivity and trends.
- Uploads milestone data into the PMO Workbook weekly.
- Forecasts the impacts on schedule of proposed changes.
- Meets weekly with the PMs and facilitates schedule updates and recommends revisions that will improve schedule accomplishment.
- Attends management, project team and customer meetings as requested by the project manager or TPM.
- Meets weekly with the program team to review dependencies and upcoming milestones.
- Trains and supervises subordinates in the art of scheduling and the use of the designated software.
- Ensures the PMs understand how to upload MS Project schedules to PPMC using the integration tool and resolve any issues the PMs face with this.
- Assists management, project managers and colleagues to understand and accept scheduling concepts, theory and alternative approaches in scheduling project activities.
- Raises any schedule risks and issues to the program team.
- Archives actual schedule achievements for estimating future similar projects.
Key Measures:
- Scheduling is implemented as designed and functioning to support the Transition and Transformation programs.
- Schedules are baselined and show a critical path.
- All programs/projects schedules are kept up to date and interdependencies are updated regularly.
- Schedule reporting weekly.
**Minimum Qualifications**:
- Working knowledge in project management (2 years of experience)
- Solid understanding of project scheduling and cost control
- Working knowledge in MS Excel.
- Working knowledge in the core PMO tools and processes including PPMC, SharePoint, MS Teams.
- Fluent in English.
- Strong communication skills.
- Ability to manage a changing workload and work remotely.
