About the Role

We are seeking a seasoned operational leadership specialist to join our team at In the Network LLC as a Floor Operations Manager. This role plays a crucial part in ensuring the smooth operation of our organization by optimizing efficiency and productivity while maintaining high service quality.

As a key member of our management team, you will be responsible for overseeing day-to-day administrative functions, including managing Client Case Managers (CCM) and coordinating office activities. You will also handle financial matters and ensure compliance with legal standards.

The ideal candidate will have a proven track record of fostering an organized and supportive environment that enables staff to concentrate on case management. This, in turn, facilitates our ability to meet clients' needs effectively and efficiently.

This is a strategic role that supports our company's objectives through planning and resource management, contributing to its overall success and sustainability.

Duties and Responsibilities

  • Walk the floor daily to ensure CCMs are working efficiently.
  • Provide leadership and guidance: analyze situations and implement solutions.
  • Monitor employee workload and communicate with the USA team regarding global distributions.
  • Assist CCMs in providing accurate answers to their daily questions.
  • Organize individual training when necessary for CCMs.
  • Oversee new hires and create reports on their case management skills.
  • Supervise staff by managing Client Case Managers (CCM) and coordinating office schedules to ensure efficient workflow.
  • Set goals and deadlines for your department or facility and recommend ways to improve CCM efficiency.
  • Assign responsibilities based on each staff member's strengths and provide ongoing support and feedback for a productive and harmonious work environment.
  • Plan strategies and policies to ensure CCMs meet established goals.
  • Implement and maintain office policies and procedures to ensure compliance with legal regulations and enhance operational efficiency.
  • Manage client interactions and communications smoothly by facilitating exchange of information between attorneys, support staff, and clients.
  • Recommend changes to policies or procedures to improve operations, such as reassessing supplies or recordkeeping.
  • Log attendance and work with HR to ensure punctuality and attendance goals are met.
  • Provide weekly business recaps to direct reports.

Requirements

  • Able to lead, develop, and teach others through strong supervisory and leadership skills.
  • Knowledge of HIPAA practices.
  • Client Relationship Management.
  • Problem-solving and critical thinking skills.
  • Precise in gathering, organizing, and filing documents.
  • Excellent written and verbal communication.
  • Ability to develop relationships and work well as a team.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Able to prioritize tasks and delegate them when appropriate.
  • Proficient with Microsoft Office Suite or related software.

Salary

$60,000 - $80,000 per annum, depending on experience.

Physical Requirements

- Stand or sit: Must remain stationary 50% of the time.

- Walk: Must be able to move inside the office to access cabinets, machinery, etc.

- Use hands/fingers to handle or feel: Constantly operate a computer and other office productivity machinery, such as a copy machine, computer, and printer.

- Stoop, kneel, crouch, or crawl: Constantly position self to provide service for machinery, computers, printers, etc.

- Talk/hear: The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

- See: The ability to observe details at close range (within a few feet of the observer).

- Carry weight, lift: Frequently moves boxes weighing up to 20 pounds across the office for various needs unassisted, 25 pounds heavier with assistance.

- Exposure to work: Exposure to normal office conditions.

- Quick Response: Must be able to respond quickly to sounds.
