Job Summary:

The Financial Operations Specialist position reports directly to the BPO Supervisor. This role is responsible for executing various financial functions to ensure company invoices, credit checks, and collections are processed in accordance with company policies and procedures.

This Financial Operations Specialist must be able to work in a fast-paced environment, demonstrate the ability to juggle and prioritize multiple tasks, and seek supervisory assistance as needed.

Responsibilities:

  • Collecting outstanding payments from customers, including major, international, and specialty accounts.
  • Managing key accounts, reconciling payment issues, and billing disputes.
  • Maintaining accurate records related to accounts.
  • Developing solid working relationships with sales teams to utilize as resources in resolving customer-related issues.
  • Monitoring timely collections of all accounts.
  • Providing reports on external and internal collection operations as requested.
  • Interacting with other departments to resolve discrepancies.
  • Generating customer reports.
  • Managing customer complaints effectively.
  • Performing weekly reviews of customer AR and listing problem accounts.
  • Researching customer questions or concerns.
  • Maintaining aging reports and an organized follow-up schedule.
  • Entering appropriate notes in systems to accurately describe all collection actions taken or commitments made.
  • Working assigned accounts by making phone calls on past due balances.
  • Resolving account issues and researching discrepancies.
  • Negotiating payment plans with customers.
  • Replying to daily incoming correspondence.
  • Reconciling account balances as needed.
  • Able to handle other administrative functions for assigned accounts, including recording changes of addresses and replying to mail correspondences.

Requirements and Qualifications:

Fluency in English (English Level B2 Plus)

1-2 years of experience in collections (no soft collections) preferred

Proven customer reconciliation experience

High school diploma required; higher education or certification preferred

Knowledge of MS Office tools

Advanced Excel skills

Knowledge of ERPs (SAP, NetSuite, Salesforce, JDE, Syspro, etc.) highly desired

Knowledge of ticketing systems a plus
