The Sr Executive Administrative Assistant functions as a personal assistant to the GSS SVP & Site Leader and manages a wide array of advanced administrative and executive level support-related tasks including but not limited to managing the agenda and events of the executive, coordinating the execution of events and managing the budget of the office.
The incumbent should be able to work independently within established guidelines and will make independent decisions regarding planning, organizing, and scheduling work.
The person in this role will collaborate closely with leaders and lead/coach junior admins to provide support on calendar management, meeting agendas, global travel coordination, communications, expense report/mgmt, office support, purchase/requisition process, basic finance-related tasks, multi-site events (town halls, trainings, customer visits, etc) amongst other things.
**What you'll do**:
- Support the GSS SVP & Site Leader to manage the variety of responsibilities and appointments in terms of content, political/strategic framework, background information, and business relevance.
- Manage the GSS SVP & Site Leader calendar
- Coordinate domestic and international travel as required and
- Prepare and submit expense reports on behalf of the executive in a timely manner
- Manages highly sensitive and confidential execution information, analyzing, summarizing, and channeling it appropriately, ensuring appropriate actions and communication to the relevant stakeholders.
- Organize meetings and meetings content, prepare and distribute meeting minutes and provide follow-up.
This includes the weekly meetings of the local Leadership Team.
- Organize the production and execution of recurrent business meetings and off-cycle events, This includes town halls, employee recognition, conference calls, virtual events, webinars, international conferences, customer/corporate visit agendas as well as attendance of offsite conferences.
- Proactively develops and prepares high-level strategic presentations, and communications including speeches, keynotes, memos, reports, decision briefings, and background information.
- Support multiple projects simultaneously, tracking key deliverables and milestones.
- Play role of key contact for T&E stakeholders (corporate T&E) and providers (CWT, Delta, etc)
- Build and maintain strategic relationships with peer executive assistants located in Corporate, Regional, and International locations.
Liaise with them to organize relevant meetings/events with executives across the organization.
- Create purchase orders and process invoices related to activities sponsored by the executive.
- Manage utilization of the executive areas (rooms and pantries) and ensure the spaces are properly organized to host meetings.
This includes coordinating support staff and food and beverage services and inventories.
- Lead/Coach Junior admins in support of leaders and administrative duties in both sites (Heredia/La Sabana)
- May provide support to other executives from the leadership team
**What experience you need**:
- 7+ years of high-level, complex executive administration work experience at senior level and high-tech industries.
Supporting a senior-level executive in a corporate setting is preferred.
- University degree in any Business Administration, Communications, or Organizational related field is desirable.
- Languages: High proficiency in Spanish and English language is a must.
Advanced level (Written and Verbal).
