**ROLE DESCRIPTION**

A Hakkoda Facilities Assistant will collaborate with cross-functional partners such as HR, IT, Corporate Security, Safety/Emergency Preparedness, Business Assurance and Business Continuity. This role is responsible for managing office services and programs such as reception, mail/post services, space management, and parking. Keys to success in this role are to have excellent time management and organization skills for office workflow procedures and requirements.

**WHAT WE ARE LOOKING FOR**

We are looking for people with experience in the creative planning and production of activities and mixers. This includes price quoting and comparison of items, gifts, venues, vendors, services, and products. As well as working with executive roles to provide support on administrative processes based on current business needs.

**QUALIFICATIONS**

High School Diploma or any Administration Technical Degree.

2+ years relevant work experience, preferably as an administrative assistant or receptionist.

Experience managing vendors and facilities is preferred.

Excellent English communication skills, both written and verbal.

Possess own vehicle for company related tasks and driver’s license (B1).

Excellent attention to detail. High level of professionalism and social etiquette.

Excellent time management and organization skills for office workflow procedures and requirements.

**RESPONSABILITIES**

Manage third-party contractors/vendors engaged in operating and maintaining properties.

Receive Product delivery from vendors and confirm with IT and Staff Accountant

Responsible for managing office services and programs such as reception, mail/post services, space management, and parking.

Be involved in the creative planning and production of activities and mixers. This includes price quoting and comparison of items, gifts, venues, vendors, services, and products.

Ensure the pickup of supplies or items.

Assist HR/Admin teams.

Maintain/Update any SOPs related to office facilities and maintenance.

Coordinating all office and equipment maintenance and ensuring quality and completion.

Parking management for employees and visitors.

Control and management of office and cafeteria supplies.

Make hotel reservations for visitors.

Management of Uber Eats and Travel requests.

Coordinate lunch for new hires and Executives from Corporate.
