The Business Associate is an entry level position responsible for contributing to the overall administrative activities of a business and Senior Leadership of Citi Solutions Center, Finance and Risk Shared Services Center and Latam Shared Services in Region.
The Business Associate is responsible of providing administrative support under limited direction to 1 Managing Director, CSC Governance team (Site leader, HR and Site Management team).
Duties are complex and highly confidential in nature requiring a great use of discretion.
The role will include a large amount of Global interaction and liaison at CCO and Global Partners as well as regular contact and communication with high-level management both within Citi and externally.
The Business Associate may also participate in activities such as the tracking of business financials, managing calendars, coordination of activities and other administrative needs.
The overall objective of this role is to ensure collaboration to the Leadership team in the business functions in a seamless and effective manner.
**Responsibilities**:

- Coordinate all aspects of executive level manager appointments, meetings, receptions and conference/video calls
- Assist with creation / modification of presentations, spreadsheets and other various documents
- Prepare and review materials for meetings.
- Agenda Management - be an effective gatekeeper; take actions efficiently and accurately
- Key support receiving and managing visitors Agenda
- Coordinate travel arrangements, understanding executive's travel preferences and needs, using initiative in managing itinerary times and costings.
Arrangement of visas where required.
- Assist with any other ad hoc reports and special projects as required
- Run and review weekly and monthly client tracking reports on internal reporting systems ensuring deadlines are met.
- Assist in organizing team events and visitor´s agenda
- Create and maintain reports based on regular cadency as required
- Document software errors and enhancement requests and submit them to product support

**Qualifications**:

- Excellent English - be able to speak fluently
- At least 2 yrs of previous office administration experience preferably within a large and complex financial services or similar organization or supporting business executives
- Bachelor's Degree/University degree or professional secretarial qualifications
- Consistently demonstrates clear and concise written and verbal communications skills.
- Ability to take unexpected eventualities in their stride, and to cope well under pressure
- Self-motivated to meet all expected deadlines
- Excellent organizational skills, detail oriented and with strong background in managing multiple priorities
- Superior time management: ability to prioritize tasks and work to tight deadlines, at times under pressure
- Flexibility of approach, together with a 'can-do' attitude, is key
- Strong interpersonal skills, ability to create and maintain effective relationships with internal and external stakeholders
- Enthusiasm, "can do" attitude, resilience, drive, sound judgment, adaptability, creativity, initiative, reliability, risk awareness and team player are characteristics that are appreciated
