Position Overview:
Global Business Solutions (GBS) organization is responsible for the design, governance and execution of global processes. Within GBS, the Source to Settle (STS) organization is responsible for the execution of the following processes: Vendor Master Data, Supplier Onboarding, Purchasing, Invoice Entry, Accounts Payable Management, Settlements and STS Support.

The Specialist, Invoice Optimization will be part of a team working on strategic global projects aimed at reducing our manual invoice entry volumes and cost. The team will partner closely with our Procurement, IT and STS organizations to drive supplier Ariba invoicing adoption in alignment with our corporate strategy, and other initiatives aimed at automating invoice entry. They will be part of a team of professionals who are located in one or more of Business Services Centers (BSC) based in Czech Republic, Costa Rica and Malaysia.

The work will involve working on strategic projects to achieve our organizational priorities. The project work will involve (but is not limited to) data analysis, preparing project updates, contributing to the project strategy and project approach, active collaboration with internal stakeholders and actively working directly with our suppliers to drive invoice optimization.

The incumbent is expected to build strong synergies within their team, to maintain a strong team environment across different geographies. They should also build positive relations across other teams and divisions, and demonstrate a global mindset, strong business judgement and effective communication.
The Specialist is also expected to challenge the status quo, and put forward suggestions and ideas to improve the effectiveness of the project and our processes.

Position Responsibilities:
Primary responsibilities for this position include, but are not limited to, the following:

• Part of a project team focused on delivering against organizational priorities, primarily to reduce manual invoice entry volumes and costs through driving supplier Ariba invoicing adoption, and other projects

• Understand their role in the end-to-end design

• Responsible for the global execution of their assigned projects

• Ensure individual objectives and project targets are met

• Contribute to overall team performance

• Effective collaboration with the other Global Accounts Payable Team members

• Helps inform and supports strategy for continuous improvement opportunities

• Prepare and understand project metrics to ensure progress is on track

• Data analysis and interpretation inform project strategy

• Project documentation

• Close partnership with other teams within STS, in particular Supplier Onboarding and Administration Teams and Invoice Processing Teams, as well as other divisions such as Procurement, IT and Finance

• Work with external suppliers, providing high quality support and communciations

• Operate with ethics and integrity

• Adherence to the global process design, policies and compliance requirements

• Maintain strong connections and alignment with STS organizational priorities

• Effective communication with relevant stakeholder groups

Education & Experience:

• Bachelor's degree in accounting, Finance, Business Administration or related fields preferred

• Minimum of 2 years of demonstrated work experience within a General Accounting and/or Finance Shared Services, and/or Source to Settle area

• Fluency in English required

• Experience working on projects

• Strong understanding of Ariba supplier onboarding and invoicing activities, and surrounding processes

• Excellent attention to detail, problem solving and analytical skills a must

• Good communication and interpersonal skills

• Strong organization and time management skills required

• Continuous improvement mindset

• Customer focused and results driven

• Demonstrates initiative

• Effectively work in a team environment – including sharing knowledge and expertise, and giving and receiving feedback, to enable a high performing team

Technical Skills Requirements:

• Proficiency in MicroSoft Office Apps (Excel, Word, PowerPoint at a minimum) required

• Strong organizational skills

• Strong written and verbal skills enabling effective communication

• Ability to operate independently and remain focused through change or uncertainty

• Strong customer service mind-set

• SAP and Ariba experience required
